Getting started
Who is Zetta HR for?
Small UK employers, from 1 to 50 people, who want simple HR and who hold or are applying for a sponsor licence to employ Skilled Workers. If you do not sponsor anyone, the HR features still work on their own.
How does the free trial work?
You get 14 days to try Zetta HR with no card needed. At the end you choose a plan to keep adding people. If you do not, you can still view and export your data.
Can I sign up with a Gmail or other personal email address?
Yes. Any email address works. You will need to confirm it by clicking the link we send.
How do I add my team?
Owners can invite colleagues from Team access and choose a role for each: Employee, Line manager, HR admin, Compliance admin or External adviser (read-only). Invited staff can use any email address.
Is there a guide to using it?
Yes. Our how-to guides walk through each task step by step, from creating your account to building an evidence pack.
Sponsor licence and right to work
Do you report to the Home Office for me?
No. You report through your own Sponsor Management System account, as you do today. Zetta HR keeps the dated record of what you reported and when, and reminds you of things to check.
Will Zetta HR keep me compliant?
It helps you keep organised records and spot dates and changes worth checking. It cannot guarantee compliance, it is not approved by UKVI or the Home Office, and it is not legal advice. Where a decision needs judgement we say so and suggest expert review.
Where do the rules come from?
Each check is a versioned rule linked to the official GOV.UK guidance it came from, with the date retrieved and whether a qualified person has reviewed it. Unreviewed rules do not trigger automatic actions.
What do I have to report to the Home Office, and when?
The sponsor guidance lists changes to report, most within 10 working days, and organisational changes generally within 20 working days. Our blog post summarises the list with a link to the guidance itself.
How long do I keep right to work records?
The employer’s guide says to keep copies for the length of employment and for two years afterwards. Sponsor record-keeping periods are different; see our blog post on sponsored worker records and the GOV.UK Appendix D.
Does Zetta HR do the right to work check?
No. You do the check yourself: a manual document check, a Home Office online check with a share code, or a registered digital verification provider (the Employer Checking Service covers a few special cases). Zetta HR records the method, date, outcome and evidence and reminds you when a follow-up is due.
Can it check a change before I make it?
Yes. The pre-change check compares a planned change to a sponsored worker’s role, pay, location or employment with their sponsorship record and the rule it relies on. It is a prompt to think, not legal advice.
Pricing and billing
What does it cost?
Micro £19 a month for up to 5 people, Small £39 a month for up to 15 people, Growth £79 a month for up to 50 people. Pay annually and you get 2 months free.
Can I cancel any time?
Yes. You can cancel from the Billing page. There is no long contract on monthly plans.
What happens if a payment fails?
Adding people is paused until it is resolved. Your data stays safe and available.
Can I change plan or switch to annual billing?
Yes, from the Billing page. Existing subscribers change plan or billing interval through the secure Stripe billing portal.
Security and your data
Where is my data held?
Records are held in UK and EU data centres: the database in the UK (London) and document files in the EU. Our privacy policy lists our providers and how data is transferred.
Who can see my data?
People in your organisation see what their role allows. Each organisation’s data is separated by database rules and files are private. Our support team can only open your account with a recorded reason, read-only, and that access appears in your own audit log.
Can I export my data?
Yes, at any time. The Privacy & data page lets owners export the organisation’s data.
How do I contact you about privacy?
Write to privacy@zettahr.com. Arise Media Technology Ltd (company number 17153497) is responsible for your data.
